Thornwillow Press is seeking a Project Coordinator to manage the flow of work through the studio. This role is the operational backbone of the Press—ensuring that projects move forward on time, at the highest level of quality, and with clarity across all teams.
Responsibilities
- Create and manage job tickets for all projects and orders
- Maintain production schedules and track timelines across departments
- Prepare & Coordinate materials, components, and production requirements
- Prepare order components, fulfillment details, and shipping specifications
- Monitor project progress and identify potential issues early
- Communicate clearly with internal teams to maintain alignment
- Ensure that quality standards are met at every step before work progresses
- Participate in quality control, including review and numbering of finished books
- Improve workflows and systems after mastering existing structures
- Pitch in where needed across the studio during busy periods
Qualifications
- Strong organizational and time-management skills
- Comfort working with spreadsheets, calendars, and tracking systems
- Experience with Google Docs/Sheets, Excel, and related tools
- Careful attention to detail and accuracy
- Clear communication and follow-through
- Ability to manage multiple projects simultaneously

Compensation & Structure
This position begins with a training period (typically 3–6 months) at $160/day, with increases based on performance, ability, and level of responsibility.
Positions typically begin at 3–4 days per week, with the potential to grow over time.
For candidates with prior experience, compensation may be adjusted accordingly.
This is an on-site role at our Press in Newburgh, New York.
